Record Keeping

It is a requirement of our policy that client consultation records are taken and retained for a period of five years. If you are insured to work with minors, the records should be kept for five years after the minor’s 18th birthday. This is to protect you in the event of a claim being made against you.

The records should as a minimum have the client’s full name, date of consultation and notes on the lifestyle/medical history where appropriate to the treatment being given.

It should include a brief description of the therapy or treatment.

If there is an unusual reaction to the therapy or treatment this needs to be also noted.

Where Fitness Professionals work in a gym, sports or leisure centre, it is usual practice for the Centre to keep these records. You will need to advise the Centre of any unusual events or of any injuries sustained during your class. You must ensure that the Centre will give you access to these records in the event of a claim being made against you.
